<h2>SmartVault Portal</h2>
<p>
This service update includes minor updates to the SmartVault portal that address some issues found by the SmartVault engineering team during the normal course of maintaining the SmartVault service. These minor issues were not found or reported by customers and did not impact customer usage of the service.

<p><a name="smartvaultdeskopsoftware"></a></p>
<h2>SmartVault Desktop Software</h2>
<p>
This service update includes the following updates to the SmartVault Desktop software:</p>
<ul>
<li>Adds a <b>Refresh</b> link on the  lower left corner of the SmartVaut Inbox <b>All Folders</b> tab and the <b>Documents List</b> dialog box, and on the <b>Attach Document</b> dialog box and the <b>Move Document</b> dialog box on the SmartVault Toolbar.</li>
<li>Addresses an issue where, when scanning a document using a ScanSnap scanner, auto-naming did not capture text from the QuickBooks transaction, and instead populated the <b>Name</b> field with a date and time stamp. This issue has been addressed, and the document is now auto-named correctly.</li>
<li>Addresses an issue where, when scanning a document using a TWAIN-compliant scanner, even if you had the <b>Automatically accept and upload a scanned document</b> check box selected on the User Options <b>Confirmations</b> tab in the SmartVault Desktop software, auto-naming did not work and you had to specify a name for the document and then click <b>Accept</b>. This issue has been addressed, and auto-naming now works correctly and you are not forced to accept the document.</li>
<li>Addresses an issue where auto-naming did not work for pending transactions in QuickBooks, such as a newly created bill transaction that had not yet been saved. This issue has been addressed, and auto-naming now works correctly for pending transactions that have not yet been saved, as well as for transactions that have already been saved.</li>
<li>Addresses an issue where, when modifying a PDF file using Adobe Acrobat or Adobe Reader and the SmartVault Drive, even if you tried to save the document using the same name, due to interactions between Adobe Acrobat or Adobe Reader and the WebDAV technology used by the SmartVault Drive, the modified file was not saved correctly. This issue has now been addressed for most cases, and when you modify a document using the SmartVault Drive and Adobe Acrobat or Adobe Reader and then save the document using the same name, the document is saved correctly.</li>
<li>Addresses an issue where, after the November 2011 SmartVault service update, users could not create or rename vaults using the SmartVault Drive. This issue has been addressed, and you can<br />
once again create and rename vaults using the SmartVault Drive.</li>

<h2>SmartVault Plug-in for Microsoft Outlook</h2>
<p>
This service update includes the first generally available release of the SmartVault Plug-in for Microsoft Outlook, version 12.102.112.5. <li><span class="Ifstmt">If your anti-virus software is out of date</span>, the following error message displays when you try and use the SmartVault Plug-in for Microsoft Outlook: <code>Error: A program is trying to access email address information stored in Outlook</code>. For more information about this error message and how to resolve it, see <a href="/kb318"> SmartVault Knowledge Base article KB318.</a></li>
<li>The SmartVault <b>Upload Files</b> icon does not display in Microsoft Outlook when an email with an attachment is open and the Microsoft Outlook Quick Access Toolbar ribbon is set to <b>Minimize</b>. For more information about the issue and how to resolve it, see  <a href="/kb319"> SmartVault Knowledge Base article KB319.</a></li>
<li>The SmartVault <b>Send Link</b> and <b>Get Files</b> icons in the SmartVault Plug-in for Microsoft Outlook do not display when you create a new email or reply to or forward an existing email using Microsoft Office 2007 and you are already using another plug-in with Microsoft Outlook. For more information about the issue and how to resolve it, see  <a href="/kb320"> SmartVault Knowledge Base article KB320.</a></li>
<li>You cannot browse to a folder that contains files you uploaded to SmartVault using the SmartVault Drive. This issue should be resolved by mid-February as a part of the Feburary 2012 SmartVault service update. To work around this issue, sign in to the SmartVault portal, select the file or files that were uploaded using the SmartVault Drive, cick <b>View Properties</b>, and then click <b>Save</b>.</li>
<li><span class="Ifstmt">If you use SmartVault with QuickBooks</span>, you cannot browse to the <code>Backups</code> folder under the <code>\<em>VaultName</em>\Applications\QuickBooks\<em>QuickBooksCompanyFileName</em>\Backups</code> folder, where <em><code>VaultName</code></em> is the name of the vault where the QuickBooks company file is stored, and <em><code>QuickBooksCompanyFileName</code></em> is the name of the QuickBooks company file. This issue should be resolved by mid-February as a part of the Feburary 2012 SmartVault service update.</li>
<li>You cannot select a folder of file with a pound (#) character in the name. This issue should be resolved by mid-February as a part of the Feburary 2012 SmartVault service update.</li>
<li>Microsoft Outlook 2007 sometimes does not display the <b>Upload Attachments</b> icon even when an email has attachments. The workaround for this issue is to open another email, and then go back to the original email and click it again to display the button.</li>
<li>The SmartVault Plug-in for Microsoft Office does not have an icon associated with it when it displays in the list of instaled programs in Windows <b>Control Panel > Programs and Features</b>. The SmartVault Plug-in for Microsoft Outlook displays in the list of installed programs with a generic icon.</li>
<li>When the SmartVault Plug-in for Microsoft Office installation program extracts and runs the download package for the plug-in, after the installation completes, the installation program does not clean up files that were extracted from the download package during the installation process. It leaves files in the <code>\%temp\%tick%</code>&#8230; folder where the install was run. These folders can be deleted.</li>

The SmartVault <b>Send Link</b> and <b>Get Files</b> icons in the SmartVault Plug-in for Microsoft Outlook do not display when you create a new email or reply to or forward an existing email using Microsoft Office 2007.</p>

<h2>Cause</h2>
<p>
This issue occurs in Microsoft Outlook 2007 if you try to use more than one plug-in with Microsoft Outlook 2007.
</p>
<p>
Microsoft Outlook 2007 only supports the installation and use of one plug-in at a time
</p>
<p>
<b>Note:</b>  Microsoft Office 2010 does not have this limitation.
</p>
<p>
<span class="Ifstmt">If you are already using one Microsoft Outlook 2007 plug-in</span>, and then you try to install and use the SmartVault Plug-in for Microsoft Outlook, there is a conflict between the existing plug-in and the SmartVault Plug-in for Microsoft Outlook.
</p>
<p>
This confict results because both plug-ins are trying to put buttons on the same area of the Microsoft Outlook 2007 toolbar ribbon.
</p>
<p>
Although each plug-in works fine when installed seperately,  when more than one plug-in is installed, Microsoft Outlook may drop the <b>Message</b> tab, which is where plug-in buttons are displayed.
</p>
<h2>Resolution</h2>
<p>
To resolve this issue, perform one of the following actions:
</p>
<ul>
<li>Uninstall the other plug-in, and then install the SmartVault Plug-in for Microsoft Outlook</li>
<li>Upgrade to Microsoft Outlook 2010. Microsoft Outlook 2010 does not have this limitation.</li>

The SmartVault <b>Upload Files</b> icon does not display in Microsoft Outlook when an email with an attachment is open.</p>

<h2>Cause</h2>
<p>
This issue occurs when the Microsoft Outlook Quick Access toolbar ribbon is set to <b>Minimize</b>.
</p>
<p>
When the Microsoft Outlook Quick Access toolbar ribbon is set to <b>Minimize</b>, the SmartVault <b>Upload Files</b> icon does not display in the Microsoft Outlook Quick Access toolbar ribbon.
</p>
<h2>Resolution</h2>
<p>
To resolve this issue, either click on the <b>Message</b> tab above the ribbon so you can see the Microsoft Outlook toolbar ribbon with the SmartVault <b>Upload Files</b> option, or un-minimize the Microsoft Outlook Quick Access toolbar ribbon.
</p>
<p>
<b>To see the Microsoft Outlook toolbar ribbon with the SmartVault <b>Upload Files</b> option:</b>
</p>
<ol>
<li>Open up an email that contains an attachment you want to upload and store in SmartVault.</li>
<li><span class="Ifstmt">If you want to continue to keep the Microsoft Outlook Quick Access toolbar ribbon minimized, but still want to upload an attached file to SmartVault</span>, click on the <b>Message</b> tab above the ribbon. This does not expand the Microsoft Outlook Quick Access Toolbar ribbon, but it does display the Microsoft Outlook toolbar ribbon. Once the Microsoft Outlook toolbar ribbon displays, you can click on the <b>Upload Files</b> icon in the SmartVault area.</li>
</ol>
<p>
<b>To un-minimize the Microsoft Outlook Quick Access toolbar ribbon:</b></p>
<ol>
<li>Open Microsoft Outlook.</li>
<li><span class="Ifstmt">If you want to expand the ribbon size for all emails with attachments</span>, click the drop-down arrow at the end of the Microsoft Outlook Quick Access toolbar ribbon, and then un-check the <b>Minimize Ribbon</b> option.

<h2>Cause</h2>
<p>
This error message displays under the following conditions:
</p>
<ul>
<li>You are trying to use the SmartVault Plug-in for Microsoft Outlook, and</li>
<li>Your <b>Programmatic Access</b> option in the Microsoft Outlook Trust Center is set to <b>Warn me about suspicious activity when my anitvirus software is inactive or out-of-date (recommended)</b>, and </li>
<li>Your anti-virus software on your computer is out-of-date.</li>
</ul>
<p>
The following image shows an example of this error message:
</p>

By default, Microsoft Outlook security settings are designed to warn you of suspicious activity when another program attempts to do one of the following actions programmatically:
</p>
<ul>
<li>Access your email address book and email address information</li>
<li>Send e-mail messages on your behalf</li>
</ul>
<p>
In Microsoft Outlook 2007 and Microsoft Outlook 2010, the default setting in the Microsoft Outlook Trust Center is to warn you about suspicious activity when any program, including secure, digitally signed programs like the SmartVault Plug-in for Microsoft Outlook, looks at email address information when your antivirus software is inactive or out-of-date.
</p>
<p>
This default setting, <b>Warn me about suspicious activity when my anitvirus software is inactive or out-of-date (recommended)</b> is specified in the <b>Programmatic Access</b> option in the Microsoft Outlook Trust Center.
</p>
<p>
To view this setting in Microsoft Outlook 2007, on the <b>Tools</b> menu, click <b>Trust Center</b>, and then in the left pane, click <b>Programmatic Access</b>. The following image shows this setting in Microsoft Outlook 2007:
</p>

When you use the SmartVault Plug-in for Microsoft Outlook to send a secure link to a document stored in SmartVault to an email recipient, the SmartVault Plug-in for Microsoft Outlook looks at the email address you specified for the email recipient and then checks in SmartVault to see see it the email recipient has access to the folder where the document is stored.
</p>
<p>
<span class="Ifstmt">If the email recipient has access to the folder</span>, no error message displays, and you can send the email to the recipient.
</p>
<p>
<span class="Ifstmt">If the email recipient does not have access to the folder</span>, an error message displays and prompts you to give the email recipient access to the folder before you send them a secure link to the folder.
</p>
<p>
Because Microsoft Outlook by default is on guard when any program, including the SmartVault Plug-in for Microsoft Outlook, tries to look at email address information when your antivirus software is out-of-date, Microsoft Outlook treats such activity as a potential invasion of your privacy and displays this warning each time you try and use the SmartVault Plug-in for Microsoft Outlook.
</p>
<p><h2>Resolution</h2>
<p>
To resolve this issue, update the anti-virus software installed on your computer.
</p>
<p>
Once you update your anti-virus software, this error message should no longer display.
</p>
<p>
In addition, if your anti-virus software is not up-to-date, you can still use the SmartVault Plug-in for Microsoft Outlook by completing the following steps:
</p>
<ol>
<li>When the error message displays, select the <b>Allows access for</b> Check box.</li>
<li>Select an appropriate time period (for example, 1, 2, 5. or 10 minutes) from the drop-dwn box.</li>
<li>Click <b>Allow</b>.</li>
</ol>
<p>
This will allow you to use the SmartVault Plug-in for Microsoft Outlook for the specified amount of time.
</p>
<p>
However, after this time period ends, this error message will display again the next time you try and perform a task using the SmartVault Plug-in for Microsoft Outlook, such as sending a link to a file.
</p>

<li><b>Note:</b>  Annual plans cannot be downgraded until the last (12th) month of the billing period.</li>

<li>New <b>Account Billing</b> page reorganizes and consolidates billing information onto one easy to use page. You can now manage your bill, view old bills, upgrade and downgrade plans, add or remove users, clients, and guests from your account, add storage to your account, and change your billing cycle. A handy table-based calculator allows you to easily see how upgrades and downgrades will effect your bill before you submit your changes.</li>
<li>The account number has been removed from the <b>Account Settings</b> page and the <b>Billing Type</b> page. Customers and SmartVault support reported that the account number caused confusion. SmartVault now uses an globally unique identifier (GUID) as the unique identifier for an account. You can view your account GUID from the end of a URL when you select the account in the <b>Advanced</b> view, then under <b>Account Tasks</b> in the right task pane click <b>Open with Files and Folders View</b>. For example, when you see <code>id=4qexLAK3qkGAisQzpDrEJw </code>at the end of the URL, this identifier is your account GUID.</li>
