QuickBooks is Running in the Background

Overview

When you start QuickBooks, it is already running and starts instantly. When QuickBooks is running in the background, it's identified as a process (QBW32.exe) in the Windows task manager. If this causes unexpected computer problems, turn off the preference using the instructions below.

Goal

There is a requirement for SmartVault to be notified when a QuickBooks application is started and a company file is open. Once we know this will SmartVault begin communicating with it. If the QuickBooks process runs in the background without ever restarting, it will never notify SmartVault.

How to fix it

End the QuickBooks processes running in the background.

  1. Right click on task bar and click on  "Start Task Manager."

  2. Go to Processes tab and click on the tab Image Name.

  3. Select the QuickBooks processes one by one and click on End process.

  4. Make sure only QuickBooks processes are ended and then close Task Manager.

  5. Exit out of SmartVault from the system tray.

Turn off the "Keep QuickBooks running for quick startups" preference in QuickBooks 2011 or later.

  1. Open QuickBooks and open your company file.

  2. Choose Edit > Preferences.

  3. Choose the General icon in the list on the left.

  4. Choose the My Preferences tab at the top.

  5. Click to clear the Keep QuickBooks running for quick startups checkbox.

  6. Click OK.

  7. Restart QuickBooks > sign in admin and enter your SmartVault logins.
