August 2014 SmartVault Service Update

This release introduces changes for customers on SmartVault plans that integrate with Intuit Lacerte and ProSeries Tax (Tax Plans). Here’s a summary of what’s new:

 

  • Improved flexibility for naming tax engagements in folder templates (for DMS migration)
  • Improved the performance of printing documents from Lacerte & ProSeries to SmartVault
  • Improved the performance of DMS migrations
  • Bug fixes

 

Improved flexibility for naming tax engagements in folder templates (for DMS migration)

DMS Migration can now change how Tax Engagements are identified. The default migration supported TYxx and TYxxxx. Now the pattern can be changed to support any pattern. Examples used by customers include:

  • YYYY (i.e. 2013)
  • TY xx (i.e. TY 13) – notice the space separator
  • YYYY Tax Returns (i.e. 2013 Tax Returns) 

 

Improved the performance of printing documents from Lacerte & ProSeries to SmartVault:

When printing to SmartVault from Lacerte and ProSeries, the documents will now show up faster in your clients’ folders in SmartVault.

 

Improved the performance of DMS Migrations:

DMS migration is fast on your desktop because the files are exported to a ZIP file, encrypted and uploaded to SmartVault. The SmartVault server processes your DMS migration to create and populate your clients’ folders. The performance of this process on the service has been improved, resulting in faster migrations.

 

The following bugs were fixed with this release:

  • The registration of the SmartVault Toolbar in QuickBooks was failing for new customers. This prevented new customers from using SmartVault’s integration with QuickBooks.
  • Multiple issues have been fixed that were resulting in files failed to get migrated to SmartVault. This included issues with duplicate folder names in DMS and bad file names in DMS. The migration now also supports clients in DMS that do not have a client ID or a SSN.

  • Added ‘Import Data’ to the Launch Pad
  • Ability to perform offline DMS migrations
  • Ability to run multiple DMS migration jobs
  • Bug fixes

 
Added ‘Import Data’ to the Launch Pad
The tool to import client data from Lacerte, ProSeries and DMS is now available from an icon on the SmartVault Launchpad and not just from the right-click menu of the SmartVault system tray icon. You can also still import clients from within Lacerte or ProSeries by simply printing a tax return or report for the client to SmartVault.
 
Ability to perform offline DMS migrations
For migrations that would otherwise take too long over the Internet, you can mail us your encrypted data file and we will plug the disk drive into our data center to initiate a fast import of your data into SmartVault. The creation of this DMS export file is not a manual process; it is built directly into the migration wizard. We recommend this for customers with many hundreds of gigabytes (GB) of documents in DMS, or a terabyte (TB) or more of data, in which case waiting for the file to upload over the Internet may take weeks.  To find out about this service, contact support@smartvault.com


Ability to run multiple DMS migration jobs
For customers that want to more flexibility in migrating their data from DMS, the SmartVault migration tool now supports the ability to run and remember multiple jobs.
 
The following bugs were fixed with this release:

  • Slow Inbox: The performance of the Inbox has been improved.
  • A bug relating to problems moving QuickBooks company files in SmartVault has been fixed.
  • Slow portal: A bug that was slowing down the performance of the SmartVault portal when opening client containers has been fixed, resulting in a major performance improvement.
  • A bug that was causing the SmartVault portal to time-out when closing a client vault has been fixed. This also results in a performance improvement when closing a client vault, in addition to preventing time-out errors.
  • A bug that was resulting in a 20-30 second delay when managing Vault Group members for Intuit Tax plans has been resolved.

This release introduces changes for customers on SmartVault plans that integrate with Intuit Lacerte and ProSeries Tax (Tax Plans). Here’s a summary of what’s new

  • Changed privacy settings for Guest and Client users
  • Improvements to the Folder Template Editor (beta)
  • Added ability to delete all clients
  • Bug fixes


Changed privacy settings for Guest and Client users
When sending links to a file, Guest and Client users can only see the Employee users. This change was made so that non-employee users would not be able to see the list of other clients of the firm. Now, only Employee users can see the list of all users when sending a link to a folder or file. NOTE: This change only effects customers on SmartVault plans that integrate with Intuit Lacerte and ProSeries Tax.


Added ability to delete all clients
For Tax Plan customers that want to experiment with migrating to SmartVault, you can now delete all your clients in a single operation after you are done experimenting and are “ready to go”. To get access to this feature, contact support@smartvault.com.


Improvements to the Folder Template Editor (beta)
You can now deploy changes to the folder structure back to Clients and also setup different templates based on the client’s tax type and tax year. For example, you can choose that no historical folders will be shared with clients, but you will start sharing with clients in TY14 or TY15. Pick lists and other user interface improvements have also been made to the template editor. The template editor is still in beta, so for help with editing templates contact support@smartvault.com.

 

The following bugs were fixed with this release: (only pertains to Tax Plans)

  • Inviting someone using Share and Manage Access with a full User license was provisioning an Employee Vault
  • Direct User Permission Grants were not working in Share and Manage Access

New or Improved Features

  • Expanded rules for customized migration of files from Lacerte and ProSeries DMS

 

Note: The SmartVault customer care team is assisting customers with migration from DMS to SmartVault with customized migration support services during the month of August. There is no charge for this customized “concierge” service during the month of August. By the end of August, we expect to roll out updates to the user interface to enable customers to perform self-service migrations, but, for at least the first half of August, we recommend customers contact SmartVault support to assist with migrations from the DMS Migration page by completing the migration assessment.

 

Bug Fixes

  1. Fixed bug relating to non-client folders having a file in the root folder
  2. Fixed problem where users were experiencing a disabled QuickBooks Toolbar on Intuit-tax-enabled accounts
