Getting Started with SmartVault Local


Applies to:

  • Previous SmartVault users (or others) who received an email invitation to trial SmartVault Local

  • Individuals who do not currently have an active SmartVault account he or she is using with the Lacerte or ProSeries tax application

 

Overview

SmartVault Local's Getting Started Wizard guides you through selecting a location for your local storage and migrating to SmartVault from one of Intuit's integrated products: DMS, Lacerte, or ProSeries.

Note: You must have the SmartVault Desktop software downloaded in order to access the Getting Started Wizard.

Selecting a location for your local storage

  1. Click Browse to select a folder or location where you want to store your SmartVault data (you can choose a folder on your local laptop/PC or the location of your local server).
    Note: If you select a folder on your local computer, we recommend choosing one that is regularly backed up.

  2. Click Save.
  3. Continue with DMS migration into SmartVault Local.

Migrating your Intuit DMS data with the Data Migration tool

As part of your SmartVault Local free trial, your imports from Intuit DMS are limited to 10 total clients. If you plan on using the Migration tool during your trial, we recommend importing 10 clients from your tax application, and then importing the same 10 clients' documents from DMS.

 

  1. All DMS users should select Start up my custom folder template setup.

  2. If you are not a DMS user and choose to skip customization, after clicking Next, you'll be taken directly to the client import screen to begin importing clients from Lacerte or ProSeries.
  3. DMS users: Click Next to begin setting up your folder templates.

Setting up your custom folder templates

  1. Select the second radio button - I want to use my existing folder template to organize my documents.

  2. Click Browse and select the location where your other database is stored.
  3. Your changes should automatically be reflected in the folder tree displayed under Your folder template preview.
  4. Click Next to move on.

Identify your tax engagement folders​

  1. Select the folder(s) that store your tax engagements.
    Note: Make sure you select all the tax engagement folders for each year if the wizard didn't select these for you already.
               If you don't have a pattern for your tax engagement folder, you'll most likely need to contact our Services team to                        provide the attention your unique folder structure needs.
  2. Click Next to move on.

Create your tax engagement folder template

The only action you might need to take here is if one of your tax engagement folders from a different tax year is the template you'd like to use. Follow these steps to switch years for your tax engagement folder template:

  1. Click on the drop down menu under Select preferred tax engagements year from your DMS folder.
  2. Select the year that contains the accurate folders you want for your SmartVault folder template.
  3. Click Next to move on.

Confirm your tax returns folder

  1. Select the folder in which you keep your tax returns.
  2. Click Next to move on.

 

If you don't have a single folder in which you store tax returns, you'll most likely need to contact our Services team to provide the attention your unique folder structure needs.

 

The next two screens relate to client sharing, which is not available for SmartVault Local. Simply click Next at both to move on:

Save and preview your new folder templates

You'll notice the Next button is replaced with Save. Make sure you've made all the correct selections for your folder template as once you click Save, you can't run this wizard again.

 

Clicking Save applies the folder template you created in this wizard to your SmartVault folder template. Though you can always access the Import tool, you can't alter your custom folder template without contacting support to completely reset your account. So make sure you're ready to save.

Importing your clients from your Intuit tax application

After saving your template, you're asked if you'd like to import your clients and documents now. If you're ready, you can launch the Import Data tool. If not, you can always import data later by opening the Import Data tool from the SmartVault Launchpad or from the Connected Desktop.

You'll want to import your clients from Lacerte or ProSeries first. On the next panel, you'll see a list of the software that the Import Data tool has detected as installed on your computer. You'll need to select your most recent tax application (for example, select Lacerte 2014 over Lacerte 2013), and then click Next to begin your tax client imports.

Importing from Lacerte

  1. Select your most recent version of Lacerte, select your SmartVault account, and click Next.

  2. You might need to wait for Lacerte. You'll see this window open when Lacerte has finished.

  3. Select each type of client to import or select all, then click Next.
  4. Now, select each specific client to import, or select all. Click Finish.

  5. Now, back in the Import Data tool, you'll select each client you want to import. You can select any number of clients. Hold CTRL and click each client to select multiple clients that are not continuous, or hold SHIFT and click from one client to another to select all clients in between.

  6. Click Import All to import every client in this list or click Import Selected to only import those clients you've selected.
  7. As each client finishes importing, you'll see a status for the client. The import process is tracked with a progress bar, and when finished, you will click Previous to import your data from DMS.

Importing from ProSeries

  1. Select your most recent version of ProSeries, select your SmartVault account, and click Next.

  2. You might need to wait for ProSeries. You'll see this window open when ProSeries has finished.

  3. Select any number of clients or select all to choose the clients you import from ProSeries.
  4. Now, back in the Import Data tool, you'll select each client you want to import. You can select any number of clients. Hold CTRL and click each client to select multiple clients that are not continuous, or hold SHIFT and click from one client to another to select all clients in between.

  5. Click Import All to import every client in this list or click Import Selected to only import those clients you've selected.
  6. As each client finishes importing, you'll see a status for the client. The import process is tracked with a progress bar, and when finished, you will click Previous to import your data from DMS.

Importing your clients' documents from Intuit DMS

After finishing the import of your clients from your tax application, you'll import your client documents from DMS. From either tax application import screen, click Previous until you're back on the main Import Data tool screen.

 

  1. Select Intuit DMS, your SmartVault account, and click Next.

    Note: You can change the source folder for your DMS database by clicking Browse.
     
  2. You can click Import All to import every client from your DMS database.
  3. You can also select each client you want to import. Hold CTRL and click each client to select multiple clients that are not continuous, or hold SHIFT and click from one client to another client to select all clients in between the two. 
  4. Click Import Selected to import only those clients you selected.
  5. As each client finishes importing, you'll see a status for the client. The import process is tracked with a progress bar, and when finished, you can click Exit.

 

After you exit the migration tool, the Connected Desktop opens automatically so you can begin viewing your clients and documents. See support content on Connected Desktop here (some information does not apply to Local).
