Send a Password-Protected File to a Non-Client/Guest

Overview

Applies to:

SmartVault Tax and Accounting plans

You may need to securely send a document to someone who has not been invited to your SmartVault account (a client's banker, for example). From the SmartVault Connected Desktop, you can send password-protected PDF files (other file types are not yet supported) to non-clients/guests of your SmartVault account via your computer's default email client (you cannot use Gmail or any other browser-based email service).

 

Before sending, you can make document and page-specific changes, such as including/excluding annotations, deleting a pageediting the pages sent and editing a page's orientation

Steps

  1. Locate the PDF you'd like to send in the Connected Desktop.
  2. Right click on the PDF and hover over Send to. Click Mail Recipient.



    Note: You can select multiple PDF files and follow the steps below.
     
  3. Select Password protect all PDF documents sent in this email to enter a password.



    Note: Include/exclude annotations, edit pages sent and edit page orientation from this dialog box.
     
  4. Enter your password and click OK.


     
  5. Click Send to open your default email client (in this case,  Microsoft Outlook).
  6. Enter the recipient's email address and change the email subject/text (if applicable).


     
  7. Click Send to share your encrypted file.

Considerations

  • A PDF file is currently the only file type that encrypted email supports
  • You can either password protect all or none of the files you have selected to send

 

 


Including/excluding annotations:

  1. Locate the PDF you'd like to send in the Connected Desktop.
  2. Right click on the PDF and select Send to > Mail Recipient.
  3. From the Email Files dialog box, select or deselect Annotations in the farthest column to the right of the file name



    Note: Annotations are selected by default
     

Deleting a page:

  1. Locate the PDF you'd like to send in the Connected Desktop.
  2. Right click on the PDF and select Send to > Mail Recipient.
  3. Click Edit in the nearest column to the right of the file name.


     
  4. Right Click the page and select Delete selected



    Note:
    You can delete multiple pages at a time by selecting more than one page (via Shift + Click or CTRL + Click) and selecting Delete selected
     
  5. Click Apply to save your changes.
     

Editing the pages sent: 

  1. Locate the PDF you'd like to send in the Connected Desktop.
  2. Right Click on the PDF and select Send to > Mail Recipient.
  3. Click Edit in the nearest column to the right of the file name.


     
  4. Select / Deselect the pages to include in your email.



    Notes: 
    • The pages shown on the right flex based on what you select/deselect
    • Choose multiple pages at a time by selecting more than one page (via Shift + Click or CTRL + Click) and checking one of their empty boxes
       
  5. Click Apply to save your changes.

Editing a page's orientation:

  1. Locate the PDF you'd like to send in the Connected Desktop.
  2. Right click on the PDF and select Send to > Mail Recipient.
  3. Click Edit in the nearest column to the right of the file name.


     
  4. Right click the page and select Rotate clockwise.


     
  5. Click Apply to save your changes.
