Sending Files from Connected Desktop

Overview

After you store client documents and files with SmartVault, you can then distribute them using the Connected Desktop. The Connected Desktop features three ways for sending files depending on your business needs:


You use the Send to option on the right click menu when right clicking on a file in the Document View pane:

Some of the tools below the horizontal line will vary greatly depending on what operating system you are running or what programs you have installed.

Send a File Link to User with Access to your Account

  1. Locate the file you'd like to send in the Connected Desktop.
  2. Right-click the file and hover over Send to. Click Send link to.
  3. Under Select User, select the user(s) you'd like to share your file with.

  4. Enter a personal message (if applicable).
  5. Click Send to share your file.

Send a File Link to User with Access via Computer's Default Email Client

  1. Locate the file you'd like to send in the Connected Desktop.
  2. Right-click the file and hover over Send to. Click Email link to.
  3. A new email opens in your default email application—for most Windows users, this will be Outlook. The email contains an automatically generated subject, message, and link to access the file in the client portal.

  4. Enter your recipient's email address and click Send to share the file.

Send a File as an Encrypted Email Attachment

  1. Locate the PDF you'd like to send in the Connected Desktop.
  2. Right click on the PDF and hover over Send to. Click Mail Recipient.



    Note: You can select multiple PDF files and follow the steps below.
     
  3. Select Password protect all PDF documents sent in this email to enter a password.



    Note: Include/exclude annotations, edit pages sent and edit page orientation from this dialog box.
     
  4. Enter your password and click OK.


     
  5. Click Send to open your default email client (in this case,  Microsoft Outlook).
  6. Enter the recipient's email address and change the email subject/text (if applicable).


     
  7. Click Send to share your encrypted file.
