SmartVault Dashboard for Accountants

Overview

The SmartVault Dashboard is the administrative dashboard for your account.

  • Shortcuts Sidebar (always visible from any location within the Dashboard)
    • Allows you to quickly jump from dashboard to dashboard without first returning to the Dashboard Home Page.
    • There are two icons that serve unique purposes in the Shortcuts Sidebar:
       
      • The  icon returns your view to the Dashboard Home Page.
         
      • The  icon simply displays a description next to each icon in the Shortcuts Sidebar when clicked.
         
      • The other icons in the Shortcuts Sidebar are shortcuts for the larger, colored icons on the Dashboard Home Page.

  • Dashboard or Dashboard Home Page
    • Displays all the dashboards that account Administrators and Users (employees; not Guests or Clients) have access to.
       
      • The Clients dashboard allows you to:
        • Create new clients manually.
        • Search for a client by Last Name or Company Name.
        • Send an invitation to SmartVault via email to one or more clients.
        • Filter clients by invitation status and/or client type (Individual, S-Corp., etc.).
        • Create engagement folders (Accounting Services, Payroll, Tax, etc.) for one or more clients.
        • Assign Employees to one or more clients.
        • Merge duplicate clients.

      • The Send to Clients dashboard allows you to: 
        • Email clients a link to their Financial Statements. Email can also be sent in bulk.
          • Track the progress of each financial statement. Has it been sent? Has the client viewed it?
          • Filter clients by financial statement status, client type (Partnership, S-Corp, etc.), month, and year.
        • Email clients a link to their Tax Organizers. Email can also be sent in bulk.
          • Track the progress of each tax organizer. Has the organizer email been sent? Has the client viewed it?
          • Filter clients by organizer status, client type, and/or year.
        • Email clients a link to their Tax Returns. Email can also be sent in bulk.
          • Track the progress of each tax return. Has it been printed to SmartVault? Has it been sent?
          • Filter clients by tax return status, client type, and year.

      • The Files and Folders dashboard allows you to: 
        • Modify User, Client, and Guest Access and Notifications Settings of specific vaults and folders.
        • Create new Containers, Vaults, and Folders.
        • Copy, Move, or Delete files and folders individually or in bulk.
        • Search for documents by title, keyword, or phrase.
        • Access the Recycle Bin, Activity Log and Version History of files.
        • Upload files in bulk to SmartVault by either browsing on your computer or dragging and dropping.

      • The Employees dashboard allows you to: 
        • Add or remove Administrators, Users (full-time employees), or Seasonal Workers (temporary hires for tax season) to your SmartVault account, assuming you have unused licenses available.
          • To verify or change how many User licenses you have available, click here: Manage Bill
        • Change a User's status (from User to Admin, for example) or edit their contact information

      • The Manage Folder Templates dashboard allows you to: 
        • Create, modify, clone, or delete existing engagement folder templates.
        • Modify Employee, Guest, or Custom Group Access and Notification Settings for each folder and subfolder.
        • Modify Tags and Routing for documents automatically within each folder and subfolder.
        • Apply changes globally to existing client vaults or from the template modification date forward.
        • Apply rules to your Folder Templates so that they apply just to Individuals or business entities as needed.

      • The Email Templates dashboard allows you to: 
        • Modify existing email templates in plain text (WYSIWYG) or HTML source code.
        • Customize any email sent from SmartVault to your clients - whether it's a User Activation Email or an automatic Upload Notification Email.
        • Revert to the original default template of any email if your modifications are not to your liking.
        • Save the HTML source code for your unfinished edits in Microsoft Notepad for simple copy and paste updates.

      • The Activity Log dashboard allows you to: 
        • View all activity that has taken place within your SmartVault Account.
        • Filter activity by date or date range.
        • Filter activity by license type: Admins/Employees (Users) and/or Clients (Guests).
        • Export results to a .CSV file for additional filtering by Timestamp, User Name, User Type, Event Type, File Path, File Name, and IP Address.

      • The Internal Documents dashboard allows you to: 
        • Store and share files in a central location that is, by default, only visible to other Users (Admins and Employees) on your SmartVault account.
        • Quickly upload files and folders to the Internal Documents vault within the Firm container if you are a User.
        • Upload, download, view, edit, or delete files if you are a User; Clients and Guests have no access or visibility into this vault.
        • Easily find files, forms, and documents that support your daily business operations.

      • The Public Documents dashboard allows you to: 
        • Store and share files in a central location that is, by default, visible to everyone (Users, Clients, Guests) invited to your SmartVault account.
        • Quickly upload files and folders to the Public Documents vault within the Firm container.
        • View and download existing documents if you are a Client or Guest; Users can also upload, edit, and delete files in this vault.
        • Easily share common information (business hours, mailing address, fax number, certifications, fill-in-the-blank forms) with your Clients and Guests by allowing them to self-serve.

      • The Client Engagements dashboard allows you to: 
        • Export the results in .CSV format for further sorting and analysis.
        • Analyze you client base by client type (Individual, Partnership, S-Corp, etc.), engagement type (Accounting Services, Payroll, Tax, etc.), and by year or year range.

  • Account & User Settings + Help Menu (always visible from any location within the Dashboard)
    • Click the  icon to change the Account Settings of your SmartVault Account.
      • Here you can :
        • Update your Billing and Payment Information.
        • Configure Integrations (such as RightSignature, Bill.com, etc.).
        • Manage account Administrators, Licensees, and Custom Group Members.
        • Open an additional SmartVault account or Close your current account.
        • Custom Brand your Client Portal.
           
    • Click the  icon to change your User Settings across all the SmartVault Accounts you have access to.
      • Here you can:
        • Download various SmartVault Apps and Plugins.
        • Change your Password and your personal Info.
        • Update the frequency with which you receive Notification emails for uploads and downloads.
        • Change your View Preferences and select your default SmartVault subdomain.
        • Sign Out of your SmartVault account or Switch Accounts to view another SmartVault account.
           
    • Click the  icon to see the Help Menu and links to SmartVault Customer Support resources.
      • Here you can:
        • View the top five help topics and support pages related to your currently selected dashboard.
        • Open SmartVault's Customer Service and Support Center website to search for additional support pages or contact a SmartVault Support representative.

Considerations

To go to the Dashboard from the Client Portal, right-click on your account name (next to the blue globe) in the left Navigation pane and select "View Dashboard" from the drop-down menu.
